AEPhi Housing Policies

HOUSE OPERATIONS POLICY

1.   Animals are not allowed in chapter houses.

2.   Any item belonging to the chapter house may not be removed; this includes, but is not limited to, blankets, linens, irons, air-conditioners, dishes, silver, glasses and furnishings.

3.   Fire drills are to be conducted once a month.

4.   No Christmas trees may be placed in the chapter house.

5.   There shall be no lit candles allowed in sleeping rooms of any chapter house or suite.

6.   There shall be no lit candles left unattended at any time.  This includes candles used for Sorority rituals, religious observances and table or house decorations.

7.   No one is permitted to leave a bed vacant in a house unless there is another member to fill that bed.

8.   Housing will be made available to fifth-year students if, and only if, the house is not filled to capacity.

9.   If a member notifies the president that she is transferring the following year and does not sign a house contract, she will not be held liable for a bed in the fall.

10. A bed shall not be held for anyone who has not signed a contract by the stated date.

11. A house resident who transfers in the middle of the year will be held liable for the balance of her house contract, if the vacancy cannot be filled, or in accordance with the chapter house contract.

12. All house operating chapters shall annually purchase the school and/or Greek yearbook which shall be placed in the chapter's permanent library collection.

13. Men shall not be allowed in the sleeping areas of Sorority houses and/or suites between the hours of midnight and 10 AM.

House Corporations are required annually to submit the following information to the Director of House Corporations:

  • Annual House Corporation Report, due no later than March 1.
  • Annual House Director Report, due no later than March 1.
  • Verification of completion of the online educational program “College Fire Survival” at www.igot2kno.org, prior to move-in day.

House Corporations are required annually to submit the following information to the National Office:

  • Proof of annual inspection of fire suppression equipment and all related areas. 

House Corporations must abide by the following housing safety requirements:

  • All AEPhi-owned chapter facilities must have sprinkler systems installed no later than August 1, 2015.  All proposals for said sprinkler systems MUST be submitted to the Vice President-Finance for review and approval.
  • All houses must have an annual inspection of its fire suppression equipment and all related areas.
  • All house directors, house managers and house corporation board members must annually complete the online educational program “College Fire Survival” at www.igot2kno.org. 
  • All house corporations must conduct background checks on all house employees.

Chapter Transfer of Funds to House Corporation Policy

         Whenever possible, chapters should transfer excess funds at the end of a school year to their house corporation to ensure there are sufficient funds in the building or capital fund account maintained by the house corporation.

       From time-to-time a house corporation may be required to undertake certain capital improvements and/or procure goods or services in order to fulfill the mission of the corporation.  At these times, the house corporation may submit an assessment invoice to the chapter and the chapter shall transfer the assessed funds to the house corporation.  Should an assessment invoice be presented to the chapter and the chapter does not have excess funds to meet the assessment, the chapter shall remit future excess funds to the house corporation until such obligation is met.
